Full Management Service
Most of our clients are letting property or properties for convenience, investment or both. They are looking for proper financial reward without the worry of close involvement. At the same time they want to be assured that they have not lost control of their property. This "Full Management" service offered is designed to meet these objectives in every detail.
Visit and Agree Rental Value
We like to visit your property to take details of the accommodation and agree a rental valuation. Rents should include ground rents or service charges but exclude council tax and utilities. We answer any questions you may have.
Find Tenant, Viewings, Deposit and References
To find your tenant we will take internal and external digital photographs and immediately upload them onto our web site with a description of the property, check our list of ‘tenant’s waiting list’, use advertising and ‘To Let’ boards if required and place details in our window. Accompanied viewings are arranged or if you prefer arranged with you should you wish to meet the potential tenant. Interested tenants are then given an application form, a deposit equivalent to one calendar month and one week rent is paid, references will be requested and a credit check may be carried out. If the references are less than acceptable we will ask for a guarantor- who must also be approved. We do all that we can to ensure that properties in our care are not let to unsuitable applicants.
Notices and Agreements
We will prepare the tenancy agreement and ask the tenants to sign it. We will sign the agreement on your behalf. Normally we will prepare an agreement for an initial fixed period of six months. After the first six months the tenancy will run on a month to month basis until notice to quit is served. Longer terms are arranged if required.
Move Tenant In and Rent Collection
We will arrange a date for the tenant to move in with you and arrange with you how the rent is to be paid. If you go on to use our full management service, this will be by direct debit from the tenant to our fully insured clients account. Keys will be given and the tenant asked to sign for them. The council and the local water authority are informed of the details of the tenants and the dates they are due to move in.
Rents, less commission, reach you safely via ‘Bankers Automated Clearing System’ (BACS). We instruct our bank electronically. They transfer the amount to your account as cleared funds so the money is immediately useable. No lost cheques, postal problems or visits to the bank!
Our monthly statements keep you fully informed, detailing rent due and collected from your tenant. It shows your income and expenditure along with the amount sent to your bank. We can also send you end of year tax summaries upon request or previous statements.
Tenants found by us have passed our vetting procedure. Doubtful applicants are readily rejected. However we can also offer comprehensive insurance for landlords part of which can cover loss of rent. (Details on request).
Repairs and Maintenance
We can deal with all running repairs, sometimes at no cost. We investigate larger repair needs, obtain estimates and seek your approval. We check work is completed. We ensure the work on routine maintenance contracts is carried out. We will arrange for annual gas checks to be carried out by a ‘Corgi Registered Plumber’. An annual gas safety certificate is a legal requirement. We can use your contractors or ours.
From a tenant’s viewpoint, the landlord or the managing agent’s reputation is largely judged by the speed and quality of maintenance issues. 24 hour contact is essential whether it is for water leaks or simply a tenant being locked out of the property. Tenants are issued with a ‘Tenancy Notes’ pack giving them details of what to do and who to call in an emergency if our office is closed. Basic safety instructions on electrical appliances are also included as these are legally required.
We visit each property in our care periodically not just to check that tenants are treating your property respectfully but for signs of wear and tear that may need addressing. Overflow pipes running to the outside is a common cause of problems that sometimes are not reported by tenants. This is not just a waste of water but causes damp intrusion problems that then become costly to repair.

We deal with all the day to day questions of your tenant. We can involve you as much or as little as you wish.
"Care Free" General Management
We relieve you of the payment of property related bills. We obtain estimates for larger work, deal with contractors and oversee regular maintenance contracts. We guide you over legal issues and oversee notices when the tenant is due to move out. Under separate contract we can arrange and report on, major work.
Tenant Move Out
We meet the tenant at the property. Check the meter readings and request proof that all utilities are paid up to date and finalised. Collect the keys check that the property is secure and that the fridge and freezer doors are open if switched off. We check the inventory and agree any dilapidation figure between you and the tenant or arrange for dilapidations to be corrected. Once we have received receipted utility bills we pass on any dilapidation money to you and refund the balance to the tenant.
Prepare For Re-Let
Immediately after your tenant has moved out preparation for your new tenant’s occupation takes place. Our property cleaning service is made available and we will arrange for a "Portable Appliance Test" (PAT Test) to be undertaken to all your electrical appliances as this is required by law.
